How to track time and manage timesheets

Time tracking is highly beneficial as it enables individuals and organizations to effectively manage their time and resources. By tracking how time is spent, we gain insights into our productivity patterns, identify areas of improvement, and optimize our workflow. Additionally, it allows for accurate project planning, budgeting, and client billing. Overall, time tracking empowers us to make better use of our resources, enhance productivity, and achieve our goals.

Who can track time?

Both employees and company staff can track time. Employees can track time from their UI. Company staff can track time from all other employees in the company view UI.

Before you track time

The employee has to be assigned to a client project, otherwise they would only be able to track sick leaves and bench hours.

How to track time

 

  1. Click “Time tracking” in the employee secondary menu

  2. Select any date from the calendar and press “Track time”

  3. A pop-up window will appear. Select a project from the drop-down “Project” menu

  4. Fill in the amount of hours in the “Hours per day” field

  5. OPTIONAL – A short work-related description can be added

  6. Press “Save”. You have successfully tracked time

How to edit tracked time

 

Once the user has tracked time there is an option to edit that record easily.

 

  1. Click on the tracked record 
  2. The same pop-up window will appear with the already saved tracked data.
  3. From the “Project” menu the user can choose a different project (if they are assigned to it).
  4. Users can edit the hours in the “Hours per day” field.
  5. Users also can edit the optional description field.
  6. Press “Save”. You have successfully edited the tracked time.

 

Timesheet management is highly beneficial for businesses and organizations as it provides a structured and systematic approach to track and record employee working hours. By implementing effective timesheet management, companies can accurately monitor employee attendance, measure productivity, and assess project progress. It simplifies payroll processing and ensures employees are compensated fairly for their work. Moreover, timesheet data aids in compliance with labor laws and regulations, providing a transparent record of work hours.

How to manage Timesheets

There are two ways you can do that. One is from the “Time Management” menu. The second one is from the employee profile. 

“Time Management” menu:

  1. In Company view press the “Team” menu

  2. Then select the “Time Management

  3. A timesheet table will appear, containing all company employees, the number of projects they are in and the days they have worked.

  4. If an employee has missing hours (less than 8 hours per working day) in their timesheet a red triangle will appear to notify the company user

  5. To the right of the user in the table there are three action dots. When pressed the company user can download thе timesheet of that specific employee
  6. On the top right on the table there are two filter options that can be applied: “Filters” and “Calendar date picker”. More filters could be added in the future
  7. Filters” option for now filters the status of a client if it is active or not
  8. Calendar date picker” the company user can choose what month and year they want to look at in the table

 

Employee profile

  1. In Company view press the “Team” menu

  2. Select “Employees” menu

  3. Choose an employee 
  4. From the secondary menu select “Time tracking”

  5. In the top right click on “Export Timesheet”
    export

 

A PDF file will be downloaded with all the dates for the selected month, the task descriptions (if the employee has filled them in) and the billable hours that are tracked. On the bottom left there is a summary of the total work days, sick leaves and holidays.
