How to manage your job applicants

Before you start – how to add a client?

There are two ways to add a client. One from the “Dashboard” menu by clicking the “Add Client” button on the top right. Alternatively, click on the “Clients” menu and then click the “Add Client” button on the top right.

A pop-up window will appear with the following fields: “Company Name”, “Account Manager”, “Country”, “Client Status”, “Admin name” and “Admin Email”.

Press “Save”. You have successfully added a client!

Managing job applicants on behalf of a client?

  1. Go the to “Clients” option from the menu

  2. There are two ways a user can manage a job application. From the “Job Requests” menu option or from the individual client profile.
  3. Select the “Job Requests” menu option.

  4. Select a job position from the list. 
  5. Once the user has opened the application scroll down until you see the “Applied Candidates” section.

  6. A list of candidates is displayed, based on the date when their status last changed.

  8. From top to bottom:
    • First, the user will see a section with the job position information.
    • The second section is the candidate’s application. The user can see the candidate’s name, their preferred position, the date of application and the company that corresponds to that job position. The matching score is displayed. Below it, a category progress bar is visible showing whether the candidate has any matching. Then you have two buttons: “Reject” and “Hire”.

    • If you press the “Reject” button a pop-up window will appear. The user must fill in an overall feedback and press “Send”. The candidate will be notified by email and can see the feedback in their profile.
    • If you press the “Hire” button a pop-up window will appear. The user now must fill in the starting date, monthly gross salary, its value and currency and candidate interview feedback. Press “Save”. You have successfully hired a candidate!
    • In the third section the user can create historical notes by pressing the “Create New” button.

    • The fourth section comes with the application history of the candidate.
    • In the fifth and last section the user will see the “Invite to Interview” button. The user has the option to invite the candidate to an interview!

    • Press the “Invite to Interview” button. A pop-up window will appear. The user has two options – “invite candidate” or “mark as invited”.
    • Select the “Invite Candidate” option and click “Save”. A new window will appear. It’s where the user has to include notes to the candidate and state the interview location, date, time and time zone.

    • Once everything has been filled correctly press the “Save” button. You have successfully invited the candidate to an interview! They have been notified by email and will see the invitation in their profile. 
    • Select the “Mark as invited” button and click “Save”. A new window will appear where the user has to fill their time zone, select a date and time.

    • Once everything has been filled correctly press the “Save” button. You have successfully marked the candidate as invited!
    • Once this is done, a “Reschedule” button will appear. This way, the user can change the selected option. The candidate can reschedule the invitation in his profile. The company staff will be notified and will have the option to “Confirm” or “Reschedule” the newly-proposed interview date and time!
  9. The same steps apply if a client is to manage their job applications from their UI.
